ℹ️ Welcome to the TargetRecruit User Guide!

TargetRecruit is a powerful applicant tracking system (ATS), CRM, and back-office application meant to serve the needs of staffing firms of all sizes. Although its features have been designed to be as intuitive as possible with the help of the Salesforce platform, this user guide is meant to provide guidance, tips, and best practices for everyone from inexperienced users to industry veterans to get the most out of the TargetRecruit ecosystem.

📕 How it works

TargetRecruit comprises objects and features custom-designed for the staffing industry, so firms can do more business in fewer clicks. Those objects and features include:

Login and Home

The TargetRecruit home page is completely customized for each user’s unique requirements. The following components are accessible:

  • Personalized Dashboards and Reports

  • Events and Tasks

  • Right Pane Links

  • Search Box

Manage Activities

The following items are considered as activities:

  • Emails

  • Events

  • Tasks

Accounts

Accounts are used to keep track of any type of company (or relationship), such as a prospect, customer, competitor, vendor, etc. 

The Account Details page (Account Record) displays the details of all the Accounts in the system, including:

  • Contact, Jobs, Applicants, Interviews, Placements, Open Activities, Opportunities, Activity History

  • Other communication details within that account, such as notes and attachments

  • Customized additional data elements within Accounts

  • Customized page layouts (changed through UI-based customization steps) within Accounts

Contacts

Contacts are used to keep track of all the details of the people working at different accounts. 

The Contact Details page (Contact Record) displays all the contact's information:

  • Contact, Jobs, Applicants, Interviews, Placements, Open Activities, Opportunities, Activity History

  • Other communication details within that contact, such as notes and attachments

  • Customized additional data elements within Contacts Details view

  • Customized page layouts (changed through UI-based customizations steps) within Contacts

Candidates

Candidates are the people who are actively or passively seeking job opportunities.

The Candidate Details page (Candidate Record) displays all the candidate's information:

  • Candidate Information:  Account Name, Candidate Name, Title

  • Additional Information & Advanced Search

  • Skills, Positions Sought, Referrals

  • Pay Details, Portal Login Details

  • Work Details & Resume

  • Job Lists

  • Email History

  • Competency Details, Education History

  • Job Applicants, Interviews, Placements, Credentials

  • Open Activities & History

  • References, Background Checks

  • Assessments, ETCObjects, Job Alerts

  • Project Resources, Timesheets, Time

  • Other Communication:  Google Docs, Notes, and Attachments

Credentials

All credential details are archived in the Credentials Master tab. There is also a Credentials Home page, both located under the + or drop-down arrow links at the top navigation menu.

Jobs

Jobs are requirements for open positions and should be filled and tracked within the system.   

The Job Detail page (Job Record) displays all the details that pertain to that Job: 

  • Information: Job Title, Terms, Rates, Hiring Manager, Job Publish Site, Recruiter, etc.

  • Description: Desired Skills, Summary, Description in Detail

  • Location: Physical Address in Detail

  • Call-Em-All: Audio File Text, Audio ID, Scheduler, Message Type

  • Other Tools: Search Candidates, Job Board Search, Broadcast, Checklist, Interviews, Questionnaire, Clone, Create/Update Invoice in QuickBooks

Job Applicant

Job Applicant is a bridge between a candidate and a job, allowing the same candidate to be applied for multiple Jobs and have multiple candidates for the same Job. Stages are managed in the Job Applicant record, so if the Candidate has applied for multiple jobs, gone through the interview process, and becomes a hire, those various stages are updated and tracked here.

The Job Applicant Detail page (Job Applicant Record) displays all the details that pertain to that job applicant: 

  • Job Applicant ID, Candidate, Job Number, Job Title, Stage, Availability to Start

  • Detailed Information: Type, Credentials, Account, Hiring Manager

  • Questionnaire Details: Score, Pass Status, Desired Pay, Responses

  • Interviews, Placements

  • Activity History, Open Activities, Job Applicant History

  • Other Tools: Google Docs, Notes & Attachments

Interviews

The Interview detail page (Interview Record) displays all the details that pertain to interviews completed by candidates:  

  • Interview ID, Candidate, Interview Time, Type of Interview

  • Interview Feedback Details, Recommended Hire

  • Activity History, Open Activities, Interview History

  • Other Tools: Google Docs, Notes & Attachments

Placements

Placement is the label for when a candidate is converted to a hire, or in the onboarding process.

The Placement Detail page (Placement Record) displays all the details that pertain to that placement:  

  • Placement ID, Candidate, Job Number, Start Date

  • Placement Details:  Account, Hiring Manager, Placement Feedback Form, Start Date, Status, Project Template, Project Resource

  • Financial Details: Bill Rate, Pay Rate, Pay Type, Recruiter Markup, Payroll Markup, Overtime Rates, Placement Rating

  • QuickBooks Integration, QB Invoices

  • Open Activities, Activity History, Placement History, Expenses

  • Google Docs, Notes, and Attachments

Candidate Search

Candidates Search performs an extensive customized search amongst all the candidates in the system. Searches can be saved and can be viewed later, showing refreshed data each time.

Use the Keyword Search fields or narrow down your search by sorting through the filter fields. Once you have your results, you have the option to:

  • Send Job to Candidate(s)

  • Create Job Applicant(s)

  • Add Tags

  • Add to Short List

  • Mass Follow-Up

  • Mass Update

  • Act-On

  • Call Em All

Job Board Search

Job Board Search enables an extensive customized search for candidate profiles. Using this feature, the user can search for a candidate profile from various job board sites such as LinkedIn, Dice, and more. Based on the keywords entered and with the criteria selected, which includes, location, education details, industry and so on, the search results are displayed from the selected job board sites and candidate profiles are listed in the search results.

Recruiters can shortlist candidate profiles based on the job requirements and create Job Applicants by adding the Candidate profiles to the Job List. The candidate profiles can also be imported into the system using the Import button.

Searches that are performed can be saved and viewed later.

Timesheet

Timesheet allows employees to record their work hours.  The employer can use a timesheet to pay employees.

Timesheets & Projects synchronize to offer:

  • One-click integration with hiring and placement to Projects and Timesheet assignments

  • Timesheet & Expense Tracking, Approvals, Rejections (including Notifications)

  • Track profit and loss by each Resource and Project

  • Automatic Daily and Weekly Overtime Calculation

  • Cases for the Timesheet Support team 

  • Bill & Pay Rate

  • Customized Reports & Dashboards

Accounting Systems Integration

The Accounting Systems Integration is the connection between Timesheets and Accounting. Once the Timesheet is approved, you are now ready for Invoicing OR Billing:

Payroll Systems Integration

The Payroll Systems Integration connects the approved Timesheets and generates invoices to process payroll and issue checks.

Reports

Reports return a set of records that meet certain criteria and display it in an organized fashion. TargetRecruit comes with many pre-built Reports. 

Any custom report can be created in the system by clicking on the Create New Custom Report button from the Reports Home page:

Dashboards

Dashboards are a geographical representation of data. They provide snapshots of key metrics and performance indicators for your organization and can vary by the end user. Each Dashboard can contain up to twenty components.

Templates

Templates are typically used as a shortcut and to pre-define the look and content of an email, resume, or letterhead.

Workflows

Workflows are used to automate standard processes by configuring workflow rules within the system. TargetRecruit comes with several predefined Workflow rules, which can be changed as needed. 

Note: There are Workflow rules related to the recruitment process, besides others that come with the TR package. Sort through the Workflows by modifying or creating new Workflows.
